VACANCY

Our Law Practice is inviting applications from suitably qualified and experienced candidates to fill the following position:

POSITION: SECRETARY / RECEPTIONIST

LOCATION: Blantyre


PURPOSE OF THE JOB

To provide efficient secretarial and administrative support while managing front desk operations. The Secretary/Receptionist will serve as the first point of contact for clients and visitors, ensuring a professional image of the firm and supporting the smooth day to day running of the office.


KEY DUTIES AND RESPONSIBILITIES

  • Manage schedules, appointments and meetings for partners and staff to ensure efficient time management.
  • Answer, screen and route incoming calls; take and relay messages as required.
  • Handle incoming and outgoing correspondence, including emails, letters and packages.
  • Prepare, organize and maintain files, documents and records for easy access and retrieval.
  • Perform data entry and maintain databases with a high level of accuracy and confidentiality.
  • Maintain a clean, organized and professional reception and office environment.
  • Order office supplies and coordinate basic office maintenance needs.

Requirements

QUALIFICATIONS AND WORK EXPERIENCE

  • Diploma in Secretarial Studies, Business Administration, Office Management, or a related field from a recognized institution.
  • A minimum of one (1) year relevant work experience in a busy office environment (experience in a legal firm will be an added advantage).
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and other office applications.

  • Excellent written and verbal communication skills
  • Strong attention to detail and accuracy.
  • Good interpersonal skills with a client focused approach.
