Job Description
OVERVIEW
The Malawi Agricultural and Industrial Investment Corporation (MAIIC) Plc is a local development finance institution (DFI) incorporated in November 2018 under the Company's Act of 2013. The company was established to bridge the long-term financing gap in Malawi and spearhead private sector development. MAIIC is a commercially oriented DFI set up to play a leading role in socio-economic development in the country.
Applications are invited from suitably qualified and experienced candidates to fill the following positions.
POSITION 1: HEAD OF LEGAL/COMPANY SECRETARY
Reports to: Managing Director (day-to-day) and Board of Directors (Board matters)
KEY REQUIREMENTS
- Bachelor's degree in Law; additional qualifications such as a Master's in Law or a Chartered Secretary is an added advantage.
- Proven experience as a Company Secretary or Head of Legal with a minimum of 5 years' experience in the financial services sector is an added advantage.
- In-depth knowledge of corporate governance, compliance and relevant laws.
- Strong drafting and negotiation skills.
- Excellent communication and interpersonal skills.
- Excellent written and verbal communication skills.
- Ability to work independently and collaboratively in a fast-paced environment.
- Attention to detail.
KEY RESPONSIBILITIES
Corporate Governance
- Oversee and manage all aspects of corporate governance, ensuring compliance with relevant laws and regulations.
- Coordinate and prepare materials for Board and Committee meetings, including agendas, resolutions and minutes.
- Ensuring that the institution's records at the Companies Registry are filed and up to date at all times.
Legal Compliance
- Stay informed about changes in legislation and regulations affecting the company and advise management accordingly.
- Develop, implement and monitor compliance programs to ensure adherence to legal requirements.
Contracts and Agreements
- Draft, review and negotiate a variety of contracts, agreements, and legal documents.
- Ensure that contracts comply with applicable laws, regulations and company policies.
Perfection of Securities and Security Document Preparation
- Draft and prepare legal documents related to the creation and perfection of security interests, including mortgages, pledges and guarantees.
- Implement the necessary steps to perfect security interests in accordance with applicable laws and regulations.
- Manage the registration process for security interests, liaising with government departments and ensuring all necessary documentation is submitted timely and accurately.
Legal Advice
- Provide legal advice and guidance to management on a broad range of legal issues, including corporate law, employment law, perfection and registration of securities and contractual matters.
- Collaborate with external legal counsel when necessary.
Records Management
- Maintain and update corporate records, ensuring accuracy and completeness.
- Manage the filing of necessary documents with relevant authorities.
- Maintain accurate and up to date records of all perfected security interests.
Risk Management
- Identify and assess legal risks to the organization and develop strategies to mitigate such risks.
- Implement risk management policies and procedures.
- Work closely with the risk and credit teams to ensure the institution's exposure is minimized.
Training and Awareness
- Conduct training sessions for employees to raise awareness of legal and compliance issues.
- Develop and implement programs to enhance legal literacy within the organization.
Dispute Resolution
- Coordinate the handling of legal disputes and litigation matters.
- Work towards alternative dispute resolution when applicable.
POSITION 2: FINANCE MANAGER
Reports to: Chief Finance Officer
KEY REQUIREMENTS
- Bachelor's degree in Accounting or Finance.
- Professional qualification in ACCA or CIMA is highly preferred.
- Minimum of seven years in finance or accounting, with at least two years in a supervisory or management position.
- Exceptional knowledge of financial regulations and accounting principles.
- Proven expertise in financial modeling, budgeting, forecasting, and data analysis.
- Advanced proficiency in Microsoft Excel and experience with a Core Banking system.
- Strong leadership, communication, and interpersonal skills.
- Ability to work independently and collaboratively in a fast-paced environment.
- Ability to multitask and meet tight deadlines.
- In-depth knowledge of regulatory requirements and industry standards applicable to the organisation.
- Excellent problem-solving and analytical skills.
- Attention to detail.
KEY RESPONSIBILITIES
- Lead the annual budgeting and forecasting processes.
- Develop and maintain robust financial models to support strategic decision-making and business unit performance.
- Oversee the preparation of accurate and timely financial statements, management reports, and regulatory filings.
- Present financial results and analysis to the CFO and senior leadership.
- Supervise the day-to-day accounting functions, including accounts payable, accounts receivable, and payroll, ensuring compliance with accounting standards.
- Monitor cash flow, manage working capital, and assist in treasury functions, including banking relationships and cash forecasts.
- Maintain and improve the company's internal control framework to safeguard assets and ensure the integrity of financial information.
- Mentor, guide, and develop a team of junior finance professionals, fostering a collaborative and high-performance culture.
POSITION 3: MONITORING AND EVALUATION OFFICER
Reports to: Credit Risk Manager
KEY REQUIREMENTS
- Education: A minimum of a Bachelor's degree (Master's preferred) in Economics, Statistics, Development Studies, Finance, Business Administration, or a related field. Professional certification in M&E is a plus.
- Experience: Minimum of 3-5 years of progressive experience in a Monitoring and Evaluation role, preferably within a DFI, or a related financial/development sector organization. Proven experience in designing and implementing M&E systems for investment projects, particularly in private sector development or financial institutions. Familiarity with Development Impact measurement frameworks.
KEY RESPONSIBILITIES
1. M&E System Design and Implementation
- Develop and refine the DFI's M&E framework, including results chains/logframes, performance indicators (both financial and non-financial), and data collection protocols.
- Design and manage project-specific Performance Monitoring Plans (PMPs) and M&E components for new investments.
- Develop and deploy appropriate quantitative and qualitative data collection tools, surveys, and methodologies for baseline, mid-term, and endline evaluations.
2. Data Management and Analysis
- Oversee the collection, cleaning, and storage of high-quality M&E data from investees, implementing partners, and secondary sources.
- Conduct rigorous analysis of M&E data using statistical software to assess project performance and measure progress towards development impact targets.
- Support the development and maintenance of an M&E database/Management Information System (MIS) and data visualization dashboards.
3. Reporting and Communication
- Prepare and disseminate timely and accurate M&E reports for internal stakeholders (Management, Investment Committees) and external partners.
- Contribute to annual reports, impact reports, and other publications by providing evidence-based insights on the DFI's developmental effectiveness.
- Present M&E findings and recommendations clearly and concisely to diverse audiences.
4. Learning and Capacity Building
- Facilitate learning and knowledge-sharing sessions across investment teams to document best practices, lessons learned, and case studies.
- Support the use of M&E data for continuous improvement and strategic course correction.
- Provide technical assistance and training to DFI staff and investees/partners on M&E concepts, data collection, and reporting requirements.
5. Evaluation and Quality Assurance
- Conduct data quality assessments (DQAs) and field monitoring visits to verify the accuracy and reliability of reported data.
- Ensure compliance with the DFI's M&E policies, ethical standards, and data privacy regulations.
POSITION 4: EXECUTIVE ASSISTANT
Reports to: Managing Director
KEY REQUIREMENTS
- Bachelor's degree in Business Administration, Communications or a related field preferred.
- Proven experience as an Executive Secretary with at least 3 years directly supporting a Managing Director or C-suite executive.
- Advanced proficiency in Microsoft Office 365 (Word, Excel, PowerPoint, Outlook and Teams).
- Excellent written and verbal communication skills.
- Strong organizational and time management skills.
- High degree of discretion and integrity handling confidential data.
- Excellent interpersonal skills.
- Attention to detail.
- Proactive problem solver who can manage shifting priorities with composure in a fast-paced corporate environment.
KEY RESPONSIBILITIES
- Manage, prioritize and optimize the Managing Director's daily calendar.
- Coordinate travel itineraries including flights, accommodation, visas and transport.
- Filter, prioritize and route internal communications (emails, phone calls and document approvals, drafting responses where appropriate).
- Coordinate Board and executive meetings, including calendar scheduling, room reservation and technology set-up.
- Take concise, accurate meeting minutes and track action items to ensure post-meeting completion.
- Track on-going institutional initiatives and report status updates to the Managing Director.
- Review, proofread and format corporate documents, memos and external communications for the Managing Director's review and signature.
- Maintain organized digital filing systems for records and confidential materials.
- Create and prepare reports, presentations and formal documents for upcoming Managing Director engagements.
