Job Description
HAIL & COTTON (Malawi) LIMITED, a fully owned subsidiary of HAIL & COTTON International B.V. based in Netherlands, a company that supplies premium leaf tobacco and value-added services to manufacturers of tobacco products worldwide, is seeking highly motivated and qualified candidates to join our dynamic team in the following roles:
1. LEAF ACCOUNTANT
Employment Type: Permanent
Location: Lilongwe.
Job Purpose
This role oversees financial reconciliations and transactions for tobacco purchases, processing activities, and inventory positions. It ensures accuracy, strong financial controls, and reliable reporting for leaf operations, while providing support to both the Finance and Leaf Operations teams. The position reports to the Head of Finance.
Key Responsibilities
• Record and reconcile all tobacco leaf purchases from all the Auction Floors.
• Liaise with Auction Holding Limited on queries regarding tobacco buying.
• Verify accuracy of receiving reports with receiving warehouses.
• Maintain accurate leaf inventory records across all phases: receiving; processing, storage, and dispatch/ sales.
• Perform Monthly green and dry physical inventory reconciliations between the physical stock counts with system records, investigating and resolving variances.
• Conduct green and dry physical inventory counts and produce weekly and monthly tobacco inventory reports.
• Track leaf movements between warehouses and processes.
• Compile tobacco buying reports/market statistics for management use on daily basis.
• Prepare financial reports for leaf operations, including cost summaries, production variances, and stock positions; and
• Work closely with operations staff to ensure timely and accurate data capture.
Qualifications and Experience
• Diploma or Degree in Accounting, Finance, Business Administration, or related field.
• Professional qualification or part qualification (ACCA or ICAM) is a strong advantage.
• Training in agricultural or manufacturing cost accounting is desirable.
• 3–5 years’ accounting experience, preferably in tobacco leaf, agriculture, or manufacturing.
• Experience in inventory management.
2. ALP FIELD ADMINISTRATOR

Location: Mponela (1); Mzuzu (1)
Job Purpose
The ALP Administrator ensures accurate implementation, monitoring, and documentation of Agricultural Labour Practices (ALP) at field level in line with company and customer requirements. The role acts as a control point between field data collection and compliance reporting, ensuring that ALP data, incident management, and supporting evidence are accurate, traceable, and always verification ready. This position strengthens the company’s ability to maintain credible, evidence based ALP monitoring, safeguard compliance, reduce risk, and uphold stakeholder confidence. The position reports to the Agronomy Production Manager.
Key Responsibilities
• Review ALP survey data submitted by Agronomy Technicians (ATs) for completeness, logical consistency, and correct risk classification. Identify missing information or inconsistencies and return submissions for correction where necessary.
• Maintain organized digital and physical ALP documentation. Ensure all high and medium risks have adequate supporting evidence including training attendance, age verification, PPE distribution, and working condition assessments. Monitor all ALP incidents in the assigned area, track closure timelines, follow up on overdue actions, and escalate unresolved or EV-sensitive issues.
• Conduct periodic farm verification visits to validate reported ALP data and document discrepancies between field observations and submitted records.
• Support coordination and documentation of ALP awareness sessions for farmers and workers and ensure all training records are complete and filed.
• Prepare documentation and evidence for farms likely to be sampled, compile incident histories and corrective actions, and support field teams during verification activities.
• Maintain area-level tracking tools and dashboards and provide weekly ALP status updates.
• Identify recurring ALP issues and recommend preventive actions. Support root cause analysis for significant or repeated risks.
Qualifications & Experience
Recent graduates (2024 to date) with a diploma or degree in Agriculture, Social Sciences, Development Studies or related fields, from reputable institutions. Candidates should have a strong academic record; distinction or credit is an added advantage; and possess good communication skills, adaptability, a proactive attitude, and a commitment to personal and professional growth.
3. LEAF CLASSIFIERS (5)
Employment Type: Seasonal
Location: Lilongwe (3); Mzuzu (1) and Limbe (1).
Job Purpose
The purpose of your position shall be to classify tobacco at the auction floors and factory and to supervise Leaf and N.T.R.M checkers in line with Hail & Cotton buying policy and company specifications with the following key performance guidelines:
(a) Classify tobacco into appropriate grades according to quality.
(b) Check and verify classified tobacco, making corrections where standards are not met.
(c) Reject tobacco that does not meet company requirements.
(d) Inspect and classify green tobacco prior to processing.
(e) Monitor blends and quality during processing.
(f) Classify tobacco by products.
(g) Prepare and present daily buyer percentage reports.
(h) Supervise Leaf Checkers to ensure compliance with buying policies and product integrity.
(i) Train and transfer skills to Trainees and Leaf Checkers.
(j) Liaise with Tobacco Commission personnel during arbitration of rejected bales.
(k) Any other related duties assigned from time to time.
Qualifications
Certificate or Diploma in Agriculture or related field, with knowledge of tobacco leaf grading and quality standards. Must be detail oriented, able to identify leaf defects and grade variations, physically fit to work in a warehouse environment, and possess good communication skills. Experience in tobacco handling is an added advantage.
4. LEAF CHECKERS (13)
Emlopment Type: Seasonal
Location: Lilongwe (7); Mzuzu (4) and Limbe (2).
Job Purpose
The purpose of your position shall be to check tobacco at the floors and factory during buying and processing with the following key performance guidelines:
(a) Checking tobacco during buying at Auction floors.
(b) Presentation of cases on bales bought.
(c) Reporting to seniors on cases rejected by TC.
(d) Assisting Leaf Sorters sorting off-style tobacco during processing.
(e) Cutting samples as directed by the sample room supervisor.
(f) Preparation of hourly samples as directed by blenders.
(g) Ensuring that all by-products are bailed according to quality and type.
(h) Any other related duties assigned from time to time.
Qualifications
MSCE or equivalent, with basic knowledge of tobacco leaf handling and quality checks. Must be detail oriented, physically fit, able to verify leaf grades accurately, and willing to learn company quality standards. A Certificate in Agriculture is an added advantage.
5. DATA ENTRY CLERKS
Employment Type: Temporary
Location: Lilongwe, Chinkhoma, Mzuzu & Limbe Floors
Job Purpose
The overall function of Data Entry Clerk is to capture Hail & Cotton (Malawi) Limited’s tobacco purchases using gadgets and transfer the captured data into the system on daily basis. The position reports to the Leaf Accountant.
Key Responsibilities
• Capturing tobacco purchases using gadget (bale weight, price, barcode and tobacco grade) into the system.
• Extracting and sharing consolidated captured data in a summary with Accounts leaf officer and other authorized stakeholders; and
• Any other related duties assigned from time to time.
Qualifications & Experience
At least MSCE, computer literate, with at least two years’ experience in data entry and practical skills in data capturing and analysis.
6. FLOORS CLERK (4)
Employment Type: Temporary
Location: Lilongwe (1), Chinkhoma (1), Mzuzu (1), Limbe (1)
Job Purpose
The Floors Clerk is responsible for booking and off-loading tobacco at designated floors for sale on schedule. S/he will engage with high-level stakeholders and provide efficient sales data reporting. The Clerk must perform duties with diligence and integrity while reporting directly to the Contract Market Coordinator.
Key Responsibilities
• Ensure all booking documents are Vetted by TC taskforce and submitted to AHL for Booking and off-loading.
• Ensure that all bookings and offloading are done according to our buying plan.
• Ensuring that all Tobacco bales booked are offloaded and sorted in time at receiving bay.
• Ensuring that Transporters are advised on the delivery of tobacco in time.
• Attending farmers queries during sales at auction floors.
• Attending all tobacco delivery and sales meeting at designated auction floor.
• Taking record of nested, NTRM infested tobacco or any other factor that results in tobacco being rejected.
• Collaborating and liaising with accredited grower bodies (Associations), TC and other stakeholders to ensure smooth sales process.
• Submission of weekly and monthly floors sales reports.
• Any other related duties assigned from time to time.
Qualifications & Experience
• MSCE with credits in English and Mathematics.
• Strong communication and interpersonal skills; able to work with growers and value chain stakeholders.
• Computer literate or conversant with smartphone use.
• Self starter with sober habits, willing to work odd hours or weekends when required.
