Job Description
MBL Holdings Limited is seeking a seasoned and strategic Chief Human Resource & Administration Director to lead the people management, employee relations, recruitment, performance management, administration, compliance, and workplace culture functions of the Group.
In the modern workplace, HR is not only about hiring and filing documents. The Chief HR & Administration Director must build a disciplined, productive, compliant, and performance-driven workforce while supporting digital HR records, employee development, labour law compliance, staff welfare, and organizational growth across the Group.
Reports To: Executive Chairman
Key Responsibilities
- Lead recruitment, selection, onboarding, induction, and placement of employees
- Prepare job descriptions, employment contracts, appointment letters, HR policies, warning letters, disciplinary letters, and staff communications
- Maintain accurate digital and physical employee records, attendance records, leave records, contracts, and personnel files
- Ensure compliance with Malawi labour laws, company policies, workplace standards, and disciplinary procedures
- Manage employee relations, grievances, disputes, misconduct cases, and disciplinary hearings professionally
- Coordinate staff performance appraisals, KPI reviews, probation reviews, and performance improvement plans
- Support management in developing salary structures, benefits, welfare programmes, and staff retention strategies
- Monitor staff attendance, punctuality, absenteeism, discipline, productivity, and workplace behaviour
- Coordinate staff training, leadership development, succession planning, and skills improvement programmes
- Oversee office administration, facilities management, office supplies, company documents, licenses, and general support services
- Work closely with branch managers and department heads to identify staffing needs and improve team performance
- Promote a workplace culture based on discipline, accountability, respect, teamwork, and productivity
- Support payroll preparation by ensuring accurate staff information, attendance, leave, and deductions are submitted on time
- Handle confidential HR and administrative matters with professionalism and discretion
Requirements
Required Qualifications
- Bachelor's Degree in Human Resource Management, Business Administration, Public Administration, Industrial Relations, Psychology, or a related field
- Professional HR certification or membership with a recognized HR body will be an added advantage
- Strong knowledge of Malawi labour laws, employment practices, HR policies, disciplinary procedures, and modern HR systems
Required Experience
- Minimum of 5 years' experience in human resource management and administration
- At least 2 years' experience in a supervisory or managerial HR role is preferred
- Experience in a group company, agriculture, logistics, manufacturing, retail, construction, or multibranch business will be an advantage
